Oral Presenters Guidelines
- Session Format and Timing:
Oral presentations are organized into 90-minute sessions held in designated lecture rooms. Some sessions may span multiple time blocks or lecture rooms.
Each standard presentation is allocated 15 minutes, and featured talks are allocated 30 minutes. These durations include time for transitions and discussion. Please ensure your presentation does not exceed the allotted time.
- Hybrid Presentation Format:
All sessions will be conducted in a fully hybrid format, with on-site participation in the lecture hall and remote participation via Zoom. This setup allows both on-site and online participants to present and engage equally. - Presentation Procedures:
Please confirm that you are the presenting author of the abstract.
On-site presenters are required to use the PC provided in the lecture room. Since the operating system of the PC is not guaranteed, we strongly recommend using a PDF file for your presentation to avoid compatibility issues.
Please upload your presentation file to the lecture room PC before the session begins. A conference assistant will be available in the room to help you with the setup if needed.
Online presenters must share their screen and operate their own slides via Zoom. Presentations will be broadcast simultaneously in the lecture hall and on Zoom to ensure consistent access for all participants.
Presenters must be present—either on-site or online—by the start time of their session. If a presenter is not present at the beginning of the session, their presentation will be considered a "No Show". In such cases, the program will proceed without rescheduling or substitution.
- Registration Requirement:
All presenters and attendees—whether participating on-site or online—must register for the conference (registration fee required). - Technical Requirements for Online Presenters:
For optimal quality, we strongly recommend using the Zoom desktop client rather than a web browser. A minimum bandwidth of 1 Mbps upstream and 2 Mbps downstream is required to ensure a stable connection.
Poster Presentation Guidelines
- Poster Session Schedule and Format:
Poster sessions will be held on the first and second days of the conference. Presenters will be assigned to one of these sessions. During the session, on-site presenters must be present at their poster in the designated poster area, while online presenters must deliver their presentation via their own Zoom session. Please check the program to confirm your assigned session.
All presenters must submit their posters as presentation files. We share links to each poster in the conference program. On-site presenters are responsible for printing and bringing their own posters. The Local Organizing Committee (LOC) prints posters ONLY for online presenters, so they can be displayed on physical boards as well. This ensures all participants can view posters both on-site and online, encouraging broader engagement with participants.
Photography of any scientific material without the explicit permission of the author is strictly prohibited. Authors are requested to clearly indicate on their poster whether photography is "permitted" or "prohibited."
- On-site Poster Presentation:
-
Poster boards are in portrait orientation. Presenters must design and prepare their posters to fit within A0 size: 841 mm (width) × 1189 mm (height).
Posters must be uploaded as posterfile between July 1 and July 18 on the system for online participants as well. Upload instructions will be provided separately.
Pins for mounting posters on the boards will be available at the poster area. If additional pins are needed, please contact the staff at the designated poster area desk.
Conference assistants will be available to help with poster mounting and removal.
Abstract numbers and corresponding poster board numbers will be listed in the appropriate session program.
On-site presenters must remove their posters within one hour after their assigned presentation time. Any posters left behind will be removed and disposed of by conference staff.
- Online Poster Presentation:
-
Presenters are required to design their online posters according to fit within A0 size: 841 mm (width) × 1189 mm (height). The LOC prints posters ONLY for the online presenters.
Online posters must also be uploaded as presentation files between July 1 and July 11. Upload instructions will be provided separately.
Online poster presenters will present during the poster session in Zoom breakout rooms assigned by the organizers. Each presenter will be assigned one Zoom breakout room. Conference participants will attend the online presentation through the Zoom. Please share your poster using Zoom’s screen-share function and begin your presentation upon request.
Presenters must remain in their assigned Zoom breakout room during the poster session and engage in discussions with attendees.
Failure to Presentation
-
The presenter is required to deliver the presentation at the designated date and time. If it is known in advance that you cannot submit your poster, please withdraw your abstract as soon as possible.
If an abstract is not withdrawn by the presentation time, the absence will be classified as a "no-show."
